Searching Contacts
The Search area on the Contacts tab provides a technique for selecting contacts that contain a word or phrase.
Caution: any of the search techniques may select contacts that are off the visible page - especially if your list of contacts is quite long. Use the Show Selected button to view only the selected contacts. See the example ofat the end of the video below...
The Contacts tab shows the number of visible contacts and the total number of contacts in the pipeline. Contacts [128/988] means that 128 contacts are visible in a pipeline that holds 988 contacts.
Text search looks in all contact fields
All fields, journals, and keywords are searched. So a search for "Tom" could find the first name "Tom" in one contact and find "likes our new Tomahawk weed eater product line" in the journal of another contact.
Text searches are case sensitive
Searching for "tom" will find "bottom" but would not find "Tom".
Text searches for phrases
The text search does not recognize logical keywords - for example "Tom <and> Jones" or "Tom <or> tom". Searching for "Tom Jones" will NOT find "Tom" in a first name field, but it would find "Tom Jones" in a journal.
Reset, Show Selected, Hide Selected
These three buttons are key to hiding and unhiding contacts. Reset will force all contacts to be displayed. Pressing Show Selected will show only the selected contacts and hide the unselected contacts. Hide Selected does the opposite - it hides the selected contacts and leaves unselected contacts visible.
Hiding contacts does not delete them from your pipeline. It is a filtering technique.
Select All and Clear Selected
These actions can be activated by right clicking in the contact list area or as choices in the Advanced button drop down list.
Advanced searches by date, rating, or progress
You can search by any of these properties from the drop down list of the Advanced button. Each property can be searched between and high and low value - for example search for all contacts modified between 1.1.2011 and 2.1.2011.
